Assignment

You are the director of sales and marketing for a major hotel located in a large metro area. The hotel arranged a contract with a state agency to host its annual conference, which you authorized. The amount stated in the contract is $15,000.

This is the fifth consecutive year that the conference has been held at the hotel. In the past, this agency has used a cash bar at the event. However, this year, the contract indicates that the event has an open bar.

The event goes very well. You submit an invoice to the agency representative that accurately describes what was provided:

  • $8,500.00 for food
  • $3,500.00 for alcoholic beverages
  • $3,000.00 for room and audio/visual (AV) charges
  • $15,000.00 total

Carol Channing, the representative of the state, calls you upon receipt of the invoice. She says that after the contract for services was signed but before the event happened, she spoke with Demi, one of your sales representatives who has since left the company. Ms. Channing states that she and Demi reached a verbal agreement that the invoice would reflect only food, room, and AV charges because the state will not pay for alcoholic beverages. As soon as Ms. Channing says the state will not pay for alcoholic beverages, you recall why this event always had a cash bar. She insists that you send over a revised invoice pursuant to the verbal agreement.
